The following information is provided for registered exhibitors of the KHCHA Annual Conference to be held September 27-28, in Lawrence, Kansas. For more information on registering for this event, please view our exhibitor registration brochure.

Exhibitor Highlights

Roundtable Session

This newest addition to our Annual Conference will provide a dedicated time for providers to share their challenges and their successes with other providers.  We will offer ten different roundtables on ten different topics, with a facilitator at each table.  Participants will pick three topics, spending 20-minutes at each.  As a business partner, we acknowledge that your participation at our roundtables could be very beneficial to you and our providers, so we invite you to attend!  Full details can be found here: 

Wednesday Evening Social

In honor of our 50th Anniversary, we invite you to come celebrate like it's 1973!  Take a break and enjoy the company of your peers and others involved in home care and hospice.  From 4:30 to 6:00 pm on Wednesday evening at the DoubleTree, join us for hors d'oeuvres, beverages, and some 1970's fun -- 70's attire is encouraged!  The rest of your evening will be free for you to relax or explore Lawrence.

All exhibitors will be emailed a list of participants one week prior to the Annual Conference.  Watch your e-mail for your copy.

Our Conference App 

KHCHA will be utilizing a mobile conference app (Yapp) to share information and communicate with our participants.   As a sponsor/exhibitor, your company profile will be included in this app. In early September, watch for more information on accessing the app and viewing your listing.

Frequently Asked Questions

Where is the conference being held?

Our conference will be held at the DoubleTree by Hilton, 200 McDonald Drive, Lawrence, Kansas. 

What about sleeping rooms for the conference?

The DoubleTree by Hilton, 200 McDonald Drive, Lawrence, Kansas, has reserved a block of rooms at the special KHCHA rate of $109 per night (single and double, tax not included).  The room block will be held through 11:59 pm Saturday, August 26, 2023.   After such time the group block and rate will no longer be available.  Guests are still more than welcome to make reservations, however, they will be subject to the “standard” rate at that time. 

Reservations can be made ONLINE or by calling the hotel directly at (785) 841-7077.  Remember to mention the Kansas Home Care & Hospice Association Annual Conference when reserving your room(s) by phone. 

Any room reserved under the group special rate must be cancelled at least 72 hours prior to arrival.  If the reservation is not cancelled prior to 72 hours of arrival, guest will be charged for the first night stay plus tax.

How do I make arrangements to have electricity at my space?

If you have particular display needs, including electrical, please inform Kristen at or 913-669‐5076 at least two weeks prior to the conference.


What is the size of my exhibit space?

You will be provided with a 6’ x 30” draped table in the exhibit hallway.  Space behind and between exhibit booths will be minimal. 


What is my exhibit booth number?

KHCHA does not make booth assignments until two weeks prior to the conference.  You may contact Kristen at 913-669-5076 or at a later date to receive your number.


Where do I go upon arrival?

When you arrive, use the conference center entrance.  The pre-convene area has been designated as the exhibit hall this year.  Conference booths are assigned approximately 2 weeks prior to the Annual Conference.  Signs showing your company name will point out your assigned booth.  At your booth, you will find your nametags and additional reminders for the conference. 


What time can I set up my exhibit?

Official set-up time will begin at 8:30 a.m. on Wednesday.  We encourage you to have your table set up by 10:45 a.m.  Exhibition time will continue until approximately 2:30 p.m. on Wednesday and will resume at 10:45 a.m. on Thursday.  (See the exhibit schedule below for more information.)  We caution you that due to the minimal security provided by the hotel, you will not want to leave items of value out overnight. 


What time can I dismantle my exhibit?

Exhibition tables may be dismantled after 1:00 pm on Thursday.  Exhibitors’ activities conclude with our luncheon and door prize giveaway beginning at Noon in the luncheon ballroom.  Our annual awards will also be presented during this time.  Please join the fun by sticking around!  (See the exhibit schedule below for more information.)


Can I attend conference workshops?

Exhibitors will be admitted to the workshops as observers only.  If you desire CNE credits, you will need to register for individual workshops in advance.  Full workshop details and registration information is available on the KHCHA website, 


What do I need to do to attend the luncheons?

Participating exhibitors receive one complimentary luncheon ticket per day. Additional tickets are available for purchase. If you indicated on your registration form that you plan to use your complimentary tickets and/or purchased additional tickets, your ticket(s) will be provided at your booth at the conference.  If you did not already request luncheon tickets and would like to do so, tickets may still be reserved by contacting Kristen at 913-669-5076 or  However, as an accurate count is necessary to guarantee food and seating, you must reserve your tickets by Friday, September 15.


When is the exhibitor door prize giveaway and what sorts of gifts are typically given?

The door prize giveaway will take place Thursday from Noon to 12:15 p.m. in the luncheon ballroom.  We’ve seen all kinds of prizes given – gift baskets, exhibitor products, gift cards… prizes need not be elaborate – even small items are lots of fun!  Please make plans to collect names/business cards at your booth for your door prize.
